Google Voice – The Cobry Cafetiere of Cloud Knowledge

Welcome to episode number 13 of The Cobry Cafetiere of Cloud Knowledge - lucky for some! This week we're discussing Google's telephone solution Google Voice. So grab your caffeinated beverage of choice and let's get going.

What is Google Voice?

Google Voice is the VoIP (Voice over Internet Protocol) solution that allows users to make and receive calls. It functions using an internet connection such as Wifi or 4G in place of the wired connections of legacy services. Using Voice, organisation can access capabilities beyond those of standard telephone solutions such as call forwarding, AI and reporting. In addition, Voice's intuitive design means that it will fit seamlessly into your day-to-day workflow.

How does Google Voice work?

Google Voice is super easy to set up and use. Every user is assigned an individual number which can be issued within Voice or ported from another server. Unlike traditional phone services, this number is associated with the user account, not a device. This means that you can place and receive calls from any device, anywhere and customise it suit your day-to-day workflow.

You can download the app from the Google Play or App store to receive and make calls using your mobile device. Alternatively, if using Chrome, you can download the Google Voice Chrome extension which will enable Voice to be used within Gmail. This enables pop-up notifications on the side of your Gmail interface which you can action instantly by using your connected audio and speaker to answer the call. A third option is to use the Google Voice webpage in a separate tab.

Google Voice Features

Call Forwarding & Ring Groups

Call forwarding allows you to easily transfer calls to your colleagues without the need for your client to hang up or redial. You can also automatically forward calls to a normal phone number. This is extremely beneficial in situations where you may have limited access to Internet or Wifi. Using this feature you’ll never miss an important work call again!

With ring groups, multiple members in your team can make and receive calls from the same number. This allows departments within your organisation to quickly and effectively action incoming calls whilst ensuring client satisfaction.

Google Voice's auto attendant allows you to create a menu system that directs callers to the correct number or department by selecting the corresponding phone key. This allows callers to easily connect with the right person and prevents unnecessary disturbances for colleagues. You can also customise the initial greeting with important information such as working hours or special announcements.

Powerful AI

As in many of Google's services, Google Voice uses powerful AI in order to enhance its users’ experiences. For example, spam detection is used to filter out spam calls and silently block them. Additionally, Google’s intelligence automatically transcribes voicemails which you can choose to have sent to you as a text or an email. This means you can quickly and easily check missed messages without having to navigate through a voicemail system.

Google Workspace Integration

Tight integration with Google Workspace tools such as Calendar and Meet provides users with a seamless Voice experience. What’s more, number assignment, porting, billing information and analytics are all consolidated into the Google Workspace Admin Console. This means that your Google Workspace and Voice services can all be managed and accessed from one central location.

Google Voice Tiers

Google offers three Voice packages which are designed for different organisation types and needs.
